Billing, Subscription and Refund Terms
Plans, trials, usage fees, payment, late payment and cancellation.
Version 1.6 · Last updated 2026-09-22
These terms describe how subscriptions to Dinebase are charged. They form part of the Terms of Service. All amounts are in Swedish kronor (SEK) and include Swedish VAT at 25% unless stated otherwise.
1. Plans and prices
Dinebase is offered in tiers, priced per Restaurant. Lite covers the core reservation workflow. Higher tiers add features such as floor plans, live dining-room operations, waitlist, SMS and card/no-show protection. The features included in each tier are shown in the application at the time of purchase and may be developed over time.
| Plan | Subscription (incl. 25% VAT) | Free trial | Usage Charges |
|---|---|---|---|
| Dinebase Lite | 50 SEK per month, per Restaurant | 30 days | 20 online reservations included per month, then 5 SEK per confirmed online reservation, capped at 750 SEK per month |
| Dinebase | 900 SEK per month, per Restaurant | 14 days | 0.90 SEK per SMS sent, plus 0.75 SEK per additional message part, where SMS is enabled |
| Dinebase Pro | 1,700 SEK per month, per Restaurant | 14 days | 0.90 SEK per SMS sent, plus 0.75 SEK per additional message part, where SMS is enabled |
You choose whether the Subscription is billed monthly or annually. Annual billing is currently presented with a saving compared with paying monthly (currently 15%). The prices, trial lengths, saving and Usage Charges shown in the application at the time of purchase are the ones that apply, and they may change as described in section 6.
There is no minimum commitment period. The shortest Subscription billing period is one month.
2. Trials
Where a free trial is offered on a paid tier, its length is shown in the application at the time you choose the plan (currently 30 days on Lite and 14 days on Dinebase and Dinebase Pro). Unless cancelled before the trial ends, the subscription continues and the first payment is charged automatically. Only one trial per restaurant.
3. Fees
| Component | How it is charged |
|---|---|
| Subscription (platform fee) | A recurring fee per Restaurant, charged in advance, monthly or annually as selected |
| Online reservation fee (Usage Charge) | A fee per reservation made through the online booking page. On the Lite tier, 20 online reservations per month are included; thereafter the fee is 5 SEK incl. VAT per online reservation, charged in arrears on the following monthly invoice and capped at 750 SEK incl. VAT per Restaurant per month. Dinebase and Dinebase Pro have no per-reservation fee |
| SMS (Usage Charge) | On Dinebase and Dinebase Pro, where SMS is enabled, 0.90 SEK incl. VAT per message sent, plus 0.75 SEK incl. VAT per additional message part for messages longer than one message part, charged in arrears |
| Usage billing cycle | Usage Charges are invoiced monthly, whether the Subscription is billed monthly or annually |
Reservations created manually by staff are not charged as online reservations. Usage counters are visible in the application.
Yearly plans: if you pay the platform fee yearly, that fee is invoiced once per billing year in advance. Usage fees (online reservation fees and, where applicable, SMS) are invoiced monthly in arrears on a separate recurring charge to the same payment method, because usage cannot be settled a year ahead.
When an online reservation fee becomes final: the fee for an online reservation becomes payable 24 hours before the reserved seating time. Before that point the fee is waived if the guest cancels, or if the restaurant declines a reservation request that was never confirmed. From that point onwards the fee stands regardless of what happens next.
| What happens to the reservation | Online reservation fee |
|---|---|
| Guest cancels more than 24 hours before the seating | Not charged |
| Guest cancels within 24 hours of the seating | Charged |
| Restaurant declines or cancels a request it never confirmed | Not charged |
| Restaurant cancels a reservation it had already confirmed | Charged |
| Guest does not show up | Charged |
| Guest is seated or the reservation is completed | Charged |
| Restaurant changes the time, table or party size of an existing reservation | Charged once, as the original reservation |
4. Payment
Payment is by card through our payment provider. By subscribing you authorise recurring charges for the platform fee and any usage fees. Card details are handled by the payment provider; we never store full card numbers.
Invoices and receipts are available in the application and sent by email to the billing contact.
5. Late payment and grace period
If a payment fails, the payment provider retries. The subscription enters a past-due state and you have a 7-day grace period in which the service continues to work normally and reminders are sent.
If the invoice remains unpaid after the grace period, access to the application may be restricted until payment is made. Public booking pages may also be disabled. Statutory interest on overdue amounts and reminder fees under Swedish law may be applied.
6. Price changes
We may change prices, including Usage Charges. Existing customers are given at least 2 months' notice by email or in the application before a change takes effect. A change takes effect at the start of a billing period falling after the notice period, so you always have a reasonable opportunity to cancel before the new price applies.
7. Cancellation
You may cancel at any time in the application. Cancellation stops future renewal; it does not create an immediate refund. Access continues until the end of the period you have already paid for, and the fee is not prorated. If you paid annually, access continues until the end of that annual period. Usage Charges accrued before cancellation are still charged on the final invoice.
8. Refunds
As a standard policy we do not give refunds. Amounts already paid, including the remainder of a period after cancellation, are non-refundable. We will of course correct amounts we have charged incorrectly, and mandatory law always applies. Beyond that, Dinebase AB may at its own reasonable discretion make an exception in exceptional circumstances; no refund is promised. Usage Charges for reservations or messages that actually occurred are not refunded.
The service is sold to businesses. The statutory consumer right of withdrawal does not apply.
9. Fees the restaurant charges its own guests
No-show and late-cancellation fees configured by a restaurant are charged by the restaurant to its own guests, using the restaurant's own connected payment account. Dinebase AB is not a party to that charge and does not decide whether it is applied.
10. Taxes
All prices shown in the application, on our website and in these terms include Swedish VAT at 25%. The price you see is the amount you are charged; your invoice states the VAT amount separately. If you are established in another EU country and provide a valid VAT registration number, the reverse charge mechanism may apply — in that case the VAT component is removed and only the net amount is charged. If the applicable VAT rate changes, the VAT-inclusive price may be adjusted so that the net amount stays the same.
